Facilities & Fleet Coordinator

Mission
The Facilities & Fleet Coordinator is responsible for efficiently managing office and fleet operations to ensure a high-quality, comfortable, safe, and productive working environment for all employees, customers, and visitors. This role also ensures the proper functioning, maintenance, and cost-effective management of the company’s fleet.
Main responsibilities
Office & Facilities Management
  • Oversee daily office operations, including troubleshooting, meeting room coordination, and general workplace maintenance.
  • Manage and negotiate contracts related to facilities and office management, ensuring high service quality at a competitive cost while fostering strong long-term partnerships.
  • Regularly assess and benchmark service providers to maintain competitiveness and service excellence.
  • Develop and monitor the budget for facilities and office management.
  • Contribute to employee well-being by organizing sports activities and other initiatives that enhance workplace morale.
  • Continuously improve the office environment to optimize efficiency and comfort.
  • Serve as the primary point of contact for all office and facilities management matters, both internally and externally, proactively sharing relevant information.
  • Lead and coordinate all training activities related to office and facilities management, including first aid, fire safety, and evacuation drills, ensuring compliance with legal requirements.
Fleet Management
  • Oversee the company's vehicle fleet, ensuring efficient allocation, maintenance, and compliance with legal and safety regulations.
  • Manage leasing, servicing, insurance, and fuel cost tracking to optimize fleet expenses.
  • Implement and monitor policies for vehicle usage, maintenance schedules, and driver responsibilities.
  • Coordinate repairs, inspections, and replacements to ensure minimal downtime and cost efficiency.
  • Maintain accurate fleet records, analyse usage data, and recommend improvements for cost savings and sustainability.
  • Act as the key contact for fleet service providers, insurance companies, and internal stakeholders.
Your profile
  • Minimum 5 years of experience in administrative and facilities management, with expertise in fleet management, office workflows, procurement of office supplies and services, and enterprise asset management.
  • Strong sense of responsibility, flexibility, and professionalism.
  • Excellent organizational, coordination, and communication skills.
  • Strong analytical and problem-solving abilities.
  • Resilient and solution-oriented, with a practical, no-nonsense mindset.
  • Service-minded with a focus on delivering high-quality workplace and fleet support.
  • Fluency in English (oral and written).
